Scheduling and dispatch

How does a roofing company schedule and dispatch its crews in one board?

In the Blue Crane Roofing Division, every signed roof waits in a tray on the dispatch board until the office drags it onto a crew and a day. The board shows a month of crew-coloured bars, a crews-by-days grid and a list, knows how many squares each crew lays in a day, spreads a big roof across the days it needs, and shows the weather at the job. Blue Crane Works builds it in Hamilton, Ontario.

What does the dispatch board look like?

Three views of one schedule. Month shows five rolling weeks with every job as a bar in its crew's colour, so a gap is obvious from across the room. Board is crews down the side and days across the top, then each person, which is where most moves happen. List is the same work in order, for the phone. A tray beside the board holds every approved, signed estimate that has no day yet.

Place a job and it carries everything with it: the roof as measured, the work, the materials to order, the signed paper and the forecast for that address. One place sheet prints or shares from the board, the job page or the estimate.

How does it handle a roof that takes more than one day?

Each crew has a pace, in squares a day, that you set. A 40-square roof on a crew that lays 20 a day takes two days on the board, counts on both days everywhere in the app, and the crew is told about each day separately. Move the first day and the second follows. Rain out a Tuesday and the job slides without anyone redrawing it.

How the board decides what a job needs (the paces are whatever you set; these are examples).

Why can only signed work be scheduled?

Because a crew on a roof nobody signed for is one of the most expensive mistakes roofing companies make, and because the signed agreement is where the dates live: Ontario's guide for roofing businesses asks every contract to carry a work schedule with start and completion dates. The order is confirm, sign, schedule: a job only reaches the tray once its proposal is signed, and an unsigned one tells you why it is not there. The rule is a switch in your app, set the way your company works.

How does the crew find out where they are going?

On their phone. Each crew member's crew app shows today's roofs with directions, who leads, a button to call the lead and the office number, and the next 30 days. With texting connected for your company, the crew is also texted each day they are booked. Customers' phone numbers and prices are never on the crew's screen.

What does the office see on the day?

Crew today lists who is in, with Not in yet at the top, and lets the office mark the day: sick, called in, rained out, sent home, excused or no show. The office gets one alert per person still not in and one for anyone still on the clock at 9 p.m. The Dashboard carries the weather, and each job on Today shows its price, its cost and what is left.
